What happens when catering comes to your Bali villa

What to expect when catering comes to your Bali villa: final numbers, arrival and setup, what the team brings, service, the rain plan, cleanup and leftovers.

What happens when catering comes to your Bali villa

When catering comes to your Bali villa, the team arrives 2 to 3 hours before service, sets up its own kitchen and equipment, cooks and serves on your timeline, then cleans up and leaves. With full-service catering for your villa, the chef, service team, equipment, setup and cleanup are part of the package, so you only host.

This guide walks through a catering day from the week before to the last plate, so you know what to expect, what the villa needs and what to have ready.

TL;DR
  • Final menu several days before, final headcount 48 hours before.
  • The team arrives 2 to 3 hours before service; BBQ chefs three hours early.
  • We bring the equipment; the villa needs water, power and space.
  • Rain plan: kitchen tent or covered space, no extra charge.
  • Cleanup takes 1 to 2 hours after the last guest.

The week before

Once you accept the written menu proposal, a 50% deposit confirms the date and we send a booking summary with the date, menu, guest count, location and balance due. Final menus are confirmed several days before the event. Small adjustments are usually free, while major ingredient changes may affect the price. Events of 40 guests or more can book a complimentary tasting.

Two days before

The final headcount is due 48 hours before your event. We adjust portions and staffing to the number. Small changes carry no penalty, while large increases may affect minimums. The balance is due the day before the event, by bank transfer, credit card or Wise.

Arrival and setup

Setup usually takes 2 to 3 hours before service, and large events may need an earlier arrival. For a villa BBQ, the chef arrives three hours early and cooks live, so this is a real chef at the grill rather than pre-cooked delivery. The team uses its own equipment and needs only water, power and space to work.

What we bring What the villa provides
Grills, burners and prep tables Water access
Chafing dishes and buffet equipment Electricity
Tables, linens and napkins Space to set up, indoors or outdoors
Plates, cutlery and glassware Parking or loading access
A kitchen tent for outdoor setups Covered space as a rain option, if you have it

Away from a villa kitchen, we can build a mobile kitchen at beach clubs, gardens and event spaces. Larger off-site events may need a generator and advance planning.

During service

On BBQ, buffet and plated packages, the chef and service staff run the food from first plate to last. On a buffet, fresh batches come out every 30 to 45 minutes and hot food is held above 60°C across a 2.5-hour service window. A plated dinner is served course by course at the table. Dishes are labelled for diets, and allergy-safe meals are prepared separately with clean utensils.

Drinks are a separate add-on. You can supply your own alcohol and add a bartender, or book a cocktail package from IDR 500,000++ per guest where you buy the alcohol, or IDR 900,000++ with alcohol included, both from 10 guests. See bar services.

If it rains

Bali weather is part of the plan. We bring a kitchen tent for outdoor setups, or move indoors if your villa has covered space, at no extra charge. Tell us early where a covered area is, so the backup layout is agreed before the day.

Cleanup and leftovers

Cleanup takes 1 to 2 hours after the last guest finishes, and full cleanup is included in BBQ, buffet and plated packages. We pack safe leftovers in containers for you to keep, and discard perishable items that have sat out too long. Tips for the team are optional and appreciated, never required.

Drop-off catering is different

With drop-off catering, prepared food arrives ready to serve or reheat, with no on-site chef, service team, setup or cleanup. A basic kitchen is enough. Drop-off can often be arranged for the next day if ordered by 4pm, while BBQ and buffet normally need 3 days of notice, 2 days is fine, and we do not take bookings for the day you message.

Your checklist for the day

  1. Confirm the final headcount 48 hours before.
  2. Share gate, parking and kitchen access notes.
  3. Point out where water and power are near the setup area.
  4. Agree the rain option and any covered space.
  5. Tell us the serving time and any speeches or key moments.

FAQ

What time does the catering team arrive?

Setup usually takes 2 to 3 hours before service, so the team arrives about that long before your guests eat. For BBQ the chef arrives three hours early and cooks live. Large events may need an earlier arrival.

Do we need to provide plates, cutlery or glassware?

No. Serviced packages include plates, cutlery, glassware, napkins and serving equipment, plus grills, chafing dishes, tables and linens as the format needs.

What does the villa need to have?

For BBQ, buffet and plated service we bring grills, burners, chafing dishes and prep tables; we just need water, power and space. For drop-off catering, a basic kitchen is enough.

What happens if it rains?

We bring a kitchen tent for outdoor setups or move indoors if your villa has covered space. Weather is part of the planning, not an extra charge.

How long does cleanup take?

Cleanup takes 1 to 2 hours after the last guest finishes. Full cleanup is included in BBQ, buffet and plated packages; drop-off has no on-site team, so no cleanup.

What happens to leftovers?

We pack safe leftovers in containers for you to keep. Perishable items that have been sitting out too long are discarded for food safety reasons.
