A microphone for toasts has different requirements from a live band or a DJ. Guest count matters, but so do the layout, distance between spaces and surrounding rooms. We quote a system for the actual coverage and programme, including any separate ceremony, dining or dance areas.

The proposal identifies speakers, any subwoofer, mixing desk, microphones, stands, cables and playback connections. It also states the rental window, setup and collection, soundcheck and whether an operator remains on site. Equipment hire and technical operation are listed clearly so neither is assumed.

Send the brand and model of installed equipment or ask the venue for its inventory. We check compatibility with the selected DJ, band and presentation sources. If a package already contains PA, the same system is not added as a second rental line; any additional zone or upgrade is scoped separately.
The details make the difference
Sound system rental in Bali should begin with what the system needs to reproduce. Speech requires intelligibility across the audience; background music should feel even and comfortable; a DJ or live band may need a wider frequency range and more control. List each source you expect to connect, including laptops, phones, DJ controllers and musical instruments. A ceremony microphone and a multi-person panel discussion also require different input and microphone arrangements.
Describe the venue as a set of listening areas. A garden welcome, dining pavilion and separate dance floor may need more than one zone even with a modest guest count. Existing walls, open sides and nearby rooms affect the proposal. Rather than choosing by a wattage label alone, ask for coverage suited to the layout and programme. The supplier can then specify speakers, subwoofers if needed, mixing, microphone types and the operator responsibilities that make the system useful for your event.

The details make the difference
Request the venue’s equipment inventory before adding a rental. Useful details include model names, available inputs, cable connections and whether a technician is already assigned. A compatible installed PA may need only additional microphones or an operator, while a performance in a second space could need its own system. If several entertainers share the same event, gather their technical requirements into one brief so the supplier can review connections and avoid unnecessary duplication.
Plan a soundcheck with the actual presentation files, music sources and microphones wherever possible. Tell us when speakers will move around the room and whether recordings or video calls need an audio feed. Agree who controls levels during speeches and who handles a change from dinner music to a live set. Delivery, installation, operating time and collection should all appear in the proposal.
