How to plan a company dinner in Bali for 30 to 100 guests
A planning guide for a company dinner at a Bali villa or venue: formats, the evening timeline, what is and is not included, dietary lists, drinks and booking.

To plan a company dinner for 30 to 100 guests in Bali, fix the purpose, venue and guest count first, then choose a buffet, family-style or plated format and build the timeline around speeches. Our team for corporate event catering in Bali then quotes the food, service team and any rentals in one written proposal, with what is not included stated clearly.
Two questions organisers ask us most often are whether the dinner will be buffet, family-style or plated, and whether tables, plates and linen are included. This guide answers both, then covers the evening timeline, dietary lists, drinks, venue checks, booking and payment. myCHEF has served more than 5,000 events and 20,000 guests across Bali and Lombok.
- Decide the purpose and the moments that matter, then the format.
- A buffet is the most flexible format for 30 to 100 guests.
- Tables, chairs, linens, cutlery and tents are only included on request.
- Collect dietary needs with the RSVP and send one list.
- A 50% deposit locks the date and the balance is due the day before.
Which dinner format suits 30 to 100 guests?
A buffet is the most flexible format for 30 to 100 guests, and the published buffet rates fall as the group grows. Family-style sharing platters suit teams who want conversation at long tables. A plated dinner suits awards nights and formal evenings where guests stay seated, and it starts at a higher rate for each guest.
| Format | From, for each guest, including tax and service |
|---|---|
| Indonesian buffet, 30 to 49 guests | IDR 574,750 (IDR 475,000++) |
| Indonesian buffet, 50 to 99 guests | IDR 544,500 (IDR 450,000++) |
| BBQ | IDR 847,000 (IDR 700,000++) |
| Plated dinner | IDR 1,028,500 (IDR 850,000++) |
| 100 guests or more | Custom proposal |
These are published catering floors, shown as a reference; a company dinner is always quoted to your menu, venue and service scope. For a side-by-side view, read buffet or plated dinner for a villa event and compare buffet menus and group rates.
What should the evening timeline look like?
Work back from the moment that matters most, usually speeches or awards. A simple shape is guest arrival with welcome drinks, a short welcome before seating, dinner, acknowledgements before dessert, then relaxed conversation and departures. Our service hours run from 08:00 to 22:00 daily, so plan the close of the evening within that window.
- 17:30 Guest arrival and welcome drinks.
- 18:15 Short welcome and seating.
- 18:30 Dinner service.
- 19:45 Team acknowledgements or awards.
- 20:15 Dessert and relaxed conversation.
- 21:30 Departures and the agreed breakdown.
This is a sample flow, not a fixed schedule. Standard catering includes about two to three hours of food service, and a longer evening is scoped in the proposal. If the dinner closes a working day, see how to plan the food for a conference day.
What is included, and what is not?
Catering includes the ingredients, the chef and assistants, our cooking equipment, serving platters, setup, about two to three hours of food service and cleanup of the areas we use. Tables, chairs, linens, cutlery and tableware, tents, drinks and decoration are not included unless you ask for them, and then they appear on the quote.
| Included | Only if you request it |
|---|---|
| Ingredients for the agreed menu | Tables and chairs |
| Chef and assistants | Linens, cutlery and tableware |
| Our cooking equipment and serving platters | Tents |
| Setup and about two to three hours of food service | Drinks and a bar |
| Cleanup of the areas we use | Decoration |
On company events we also assign a service manager to the floor, who briefs the team on the agenda and keeps service in step with speeches and awards.
Planning a company dinner?
Send the date, venue, guest count and the format you are considering. We reply within 1 hour during service hours with the questions that shape your proposal.
How do you handle dietary lists for a big group?
Collect dietary needs with the RSVP and send one list before the menu is approved: vegetarian, vegan, halal, gluten-free and allergies. Our halal-certified chefs can prepare most menus halal, gluten-free costs the same as the regular menu, and a serious allergy needs its own discussion about ingredients and preparation space.
Labelling is agreed with the menu, but a buffet label alone cannot resolve a serious allergy. For mixed teams, read halal dining for groups and events and how gluten-free catering works.
Can you add drinks and a bar?
Yes. We sell alcohol and can arrange wine pairing, and drinks are only part of the event when you add them. A mobile cocktail bar is a separate package from IDR 605,000 per guest including tax and service (IDR 500,000++), with its own menu, equipment and service hours. Confirm the package inclusions, equipment and service hours before booking.
See private bartenders for villa events and bar setups for villa parties.
What does the venue need to confirm?
Confirm access and setup windows, the closing time, which kitchen or preparation space we can use, and whether you need a tent for an outdoor dinner, which is only included when requested. Tell us early if the venue needs supplier registration or has rules on music, noise or photography, so the plan reflects them.
- Venue address, gate access and parking or loading point.
- Setup start time and the time the venue must be clear.
- Kitchen or preparation space available to the team.
- Indoor or outdoor seating, and any rain plan.
- Confidential presentations or photography limits.
How far ahead should you book, and how does payment work?
Normal notice is 3 days and 2 days is fine, but a dinner for 30 to 100 guests benefits from an early brief, and peak periods such as July, August, Christmas and New Year need 2 to 4 weeks. A 50% deposit locks the date and the balance is due the day before. Paid tastings are available for large events.
If the event is food only during a working day, our corporate catering for meetings and workshops covers lunches and breaks.
FAQ
How much does a company dinner cost for each guest in Bali?
Published catering floors start at IDR 574,750 per guest including tax and service (IDR 475,000++) for an Indonesian buffet at 30 to 49 guests, and IDR 544,500 (IDR 450,000++) at 50 to 99. Plated dinners start at IDR 1,028,500 (IDR 850,000++). Travel, drinks and rentals are quoted separately.
Are tables, chairs and linen included?
No, not unless you ask for them. Catering covers the food, chef team, our cooking equipment, serving platters, setup, service and cleanup of the areas we use. Tables, chairs, linens, cutlery, tents, drinks and decoration are added to the quote only when requested.
Can you cater a company dinner for 100 guests or more?
Yes. At 100 guests or more we prepare a custom proposal rather than a published rate. Send the venue, the timeline and the dietary list early, because a group that size needs more planning for staffing, rentals and kitchen space.
Is there a travel fee?
Travel is free in Canggu, Seminyak, Kerobokan, Berawa and Pererenan. Sanur is IDR 100,000, Jimbaran IDR 200,000 to 400,000, Ubud IDR 350,000 and Uluwatu IDR 500,000 per visit. For other areas, the travel fee is shown on your quote.
Can the proposal fit our procurement process?
Yes. Send the billing entity, any purchase-order reference and your documentation needs with the brief. The proposal separates food, staffing, rentals and optional extras, and payment is a 50% deposit with the balance due the day before.
Do you offer a tasting before a large company dinner?
Paid tastings are available, normally for large catering events and weddings. Ask when you send your brief and we confirm what the tasting covers.
